Bookkeeper/Accountant (USA)

JOB OVERVIEW

We are seeking a Bookkeeper or Accountant to manage the company’s financial records from the preopening stage through ongoing operations. This role is responsible for recording transactions, reconciling accounts, preparing financial reports, and working closely with internal stakeholders and external accountants to ensure accuracy and timeliness.

KEY RESPONSIBILITIES

1. Onboarding Phase

  • Enter and reconcile all bank accounts and credit card transactions
  • Import trial balance as of December 31, 2024 if available, in coordination with the company’s accountant
  • Develop the initial Chart of Accounts framework
  • Collaborate with internal stakeholders to ensure accurate financial setup

2. PreOpening Phase

  • Record and categorize expenses
  • Review and reconcile credit card transactions
  • Perform monthly bank reconciliations for all accounts
  • Prepare monthly financial reports, primarily the Balance Sheet
  • Coordinate with the external accountant as needed
  • Support integration of third-party systems such as POS and accounting tools
  • Review financial reports with stakeholders on a monthly basis

Note: Accounts payable payments and cash flow management will be handled internally

3. PostOpening Phase

  • Record ongoing expenses
  • Enter sales transactions weekly if system integration is not available
  • Record payroll transactions weekly if not automated
  • Review and reconcile credit card accounts
  • Perform monthly bank reconciliations
  • Process and file sales tax
  • Prepare monthly financial statements including Profit and Loss and Balance Sheet
  • Review financial reports with stakeholders
  • Provide basic financial analysis including COGS and labor cost
  • Coordinate with the external accountant
  • Prepare financial records for annual tax filing
  • Manage accounts payable for a small number of regular vendors
REQUIREMENTS

1. Education and Experience:

  • Bachelor’s degree in Accounting, Finance, or a related field
  • At least 2 years of experience in bookkeeping or accounting
  • Experience in a startup or small business environment is preferred
  • Strong understanding of fullcycle accounting
2. Skills
  • Proficiency in Excel or Google Sheets
  • Experience with accounting software such as QuickBooks or Xero
  • Knowledge of bank reconciliation, financial reporting, and sales tax
  • Strong attention to detail and organization
  • Languages: Fluent English communication skills

3. Soft Skills

  • Strong communication skills
  • Ability to work independently and proactively
  • Basic analytical and problemsolving ability

4. Nice to Have

  • Experience setting up accounting systems from scratch
  • Experience integrating POS or other thirdparty systems
  • Familiarity with F&B or retail industry
